For those of you planning or considering events this fall, here are a few key things to know:
Planning an Event
1) Public Health Directives
We will follow all Government of Alberta health directives on events and gatherings. At this moment, that includes physical distancing and other public health measures, such as capacity limits for in-person events:
- 50 people for indoor social gatherings
- 200 people for audience-type community outdoor events
- 100 people for other outdoor events and indoor seated/audience events
2) Booking Events
All room and space booking requests will follow the existing process. We are recommending an Event Safety Officer be present at each event to ensure all guidelines are followed. Note: we can provide a Conference and Event Services staff member to fulfill this role on a cost-recovery basis.
We have customized our floor planning/diagramming tool to determine appropriate capacities including physical distancing in each venue on campus. If your event will be open to external guests, please let us know so we can guide you through the new waiver process.
3) Virtual Events
We are encouraging all event organizers to consider pivoting their event to virtual. We are pleased to be able to support virtual events through a variety of new virtual event platforms on a cost-recovery basis.
4) Online Registration
Tracking attendees at events is now more important than ever. Conference and Event Services continues to offer a full suite of online registration services from basic RSVP sites to robust multifunction sites with fully customized reports. Both of our new virtual platforms also feature secure registration including PCI compliant fee-collection.
